Booking Terms And Conditions

Introduction

These Booking Terms and Conditions govern all bookings made with Alsama Tours (a trading name of TRAVEL PRO LTD, Company No. 14581869). Please read them carefully, as they define the respective rights and obligations of both parties.

References to “we”, “us”, and “our” mean Alsama Tours (trading name of TRAVEL PRO LTD). References to “you” and “your” refer to the lead passenger named on the booking and all individuals on whose behalf a booking is made, including any persons added or transferred later.

Your use of our website and services is conditional upon your acceptance of these terms. If you do not agree, you must not proceed with any booking.

1. Types of Bookings

1.1 Package Holidays (Including Umrah Packages)

Where you book a combination of travel services (such as flights, accommodation, and other tourist services) forming a significant proportion of the trip, this constitutes a Package Holiday under the Package Travel and Linked Travel Arrangements Regulations 2018.

In such cases:

  • We act as the Package Organiser
  • Your payments are financially protected
  • Additional terms under Sections A and B apply.

1.2 Single Component Bookings

If you book individual elements (e.g., flights only or accommodation only):

  • We act solely as an agent for the service provider (“Supplier/Principal”).
  • The contract exists between you and the Supplier.
  • Sections A and C apply.

SECTION A – APPLICABLE TO ALL BOOKINGS

2. Booking Confirmation

The lead passenger confirms on behalf of all travellers that they:

  • Have read and accepted these terms;
  • Consent to the use of personal data in line with our Privacy Policy;
  • Are over 18 years of age;
  • Accept financial responsibility for the booking.

A contract is formed only when:

  • We accept your booking;
  • Payment (deposit or full amount) is received in cleared funds;
  • A confirmation invoice is issued.

All services are subject to availability, and fares are not guaranteed until ticketed.

3. Booking Accuracy and Responsibility

Online Bookings

You are responsible for:

  • Providing accurate information;
  • Ensuring names match passports exactly;
  • Selecting correct travel services.

Errors may result in additional costs, which you must bear.

Telephone Bookings

Information provided must be accurate. Verbal confirmations are binding once payment is taken.

4. Payments

  • Deposits must be paid at the time of booking.
  • Full balance must be paid by the due date on your invoice.
  • Failure to pay may result in cancellation and applicable charges.
  • Prices may increase due to supplier surcharges until full payment is
    received.

We are not responsible for cash sent by post or courier.

5. Data Protection

We process your personal data to fulfil your booking and ensure smooth travel arrangements. Please refer to our Privacy Policy for full details.

6. Passports, Visas, and Health Requirements

You are responsible for ensuring:

  • Valid passport (typically at least 6 months validity);
  • Appropriate visas and entry requirements;
  • Compliance with transit country requirements.

We accept no liability if you are denied travel due to incorrect documentation.

7. Health Requirements

  • Special requests are not guaranteed.
  • Medical conditions or disabilities must be disclosed at booking.
  • We reserve the right to decline or cancel bookings where requirements
    cannot be met.

9. Behaviour

You are responsible for:

  • Conducting yourself appropriately;
  • Avoiding damage, disruption, or illegal behaviour.

We reserve the right to terminate your booking without refund if behaviour is
unacceptable. You will be liable for any resulting costs or claims.

10. Compliance with Laws

You must comply with:

  • Local laws;
  • Customs regulations;
  • Foreign exchange rules;
  • Drug laws.

Failure to comply may result in termination without refund.

11. Travel Insurance

Adequate travel insurance is mandatory, including:

  • Cancellation and curtailment;
  • Medical expenses and repatriation;
  • Personal belongings;
  • COVID-19 coverage.

We are not liable for losses that would otherwise be covered by insurance.

12. Complaints and Claims

  • Issues during travel must be reported immediately to the supplier.
  • Failure to report may reduce compensation eligibility.

Post-travel complaints must be submitted in writing to the Supplier or via our
Customer Services team.

13. Supplier Conditions

Third-party suppliers operate under their own terms, which may limit liability. These form part of your contract.

14. Construction and Maintenance

Minor maintenance or refurbishment at properties may occur and does not constitute a breach of contract.

15. Jurisdiction

These terms are governed by English law, and disputes are subject to the courts of England and Wales (or Scotland/Northern Ireland where applicable).

16. Flights and Travel Information

  • “Direct flights” may include stops.
  • Flight times are estimates and may change.
  • Missed segments may result in cancellation of remaining flights.

We are not responsible for airline operational decisions.

17. Flight Reconfirmation

You must reconfirm flights at least 72 hours before departure. Failure to do so may result in additional costs.

18. Travel Documents

  • Documents are issued after full payment.
  • You must check all documents immediately upon receipt.
  • Errors must be reported promptly.

We are not liable for issues arising from unreported inaccuracies.

19. Government Data Requirements

Airlines may be required to share passenger data with authorities. Additional check-in time may be necessary.
